2. Definitions
2.1 By registering for a Retreat, the Participant accepts these Terms and Conditions and the Retreat Agreement.
2.2 These Terms and Conditions, which are an integral part of the information provided, will be made available to the Participant before concluding the Retreat Agreement and form part of any agreement regarding participation in a Retreat.
2.3 Any changes to these Terms must be made in writing and agreed upon by both parties.
2.4 In circumstances not covered by the Retreat Agreement or these Terms and Conditions, the Organiser will attempt to find a reasonable solution for both parties.
2.5 If any term of these Terms and Conditions is found to be invalid or unenforceable, the remaining terms will remain valid.
3. Retreat Proposal
3.1 Any Retreat proposal by the Organiser is non-binding and can be withdrawn at any time.
4. Retreat Agreement
4.1 After registering for a Retreat, the Organiser will provide the Participant with a Retreat Agreement.
4.2 The Retreat Agreement becomes binding when the Organiser accepts the registration and confirms receipt of the Deposit or the Retreat Fees in writing. This confirmation serves as proof of registration for the relevant Retreat.
4.3 The Participant may cancel attendance and terminate the Retreat Agreement in writing at any time. The Organiser will confirm the termination in writing. The following cancellation provisions apply. Percentages refer to all the amount that has been paid until the moment the request is made.
4.4 Due to the nature of the Retreat, which includes scheduled accommodation and catering services, the right of withdrawal within 14 days does not apply under the EU Consumer Rights Directive.
4.5 The Participant is advised to take out individual cancellation insurance covering fees for reasons such as illness or transportation issues.
4.6 The Participant cannot transfer the rights and obligations of the Retreat Agreement to a third party without the Organiser’s written consent. If the Organiser agrees to the transfer, the new Participant needs to go through the entire process, and an administrative charge of €120 applies.
4.7 The Organiser may terminate the Retreat Agreement due to insufficient registrations without any obligation to compensate beyond refunding the Deposit or Retreat Fees that were paid.
4.8 If the Participant is entitled to a refund, the Organiser will process it within 14 days after informing the Participant in writing.
4.9 If responsibility for the Participant taking part in the Retreat lies with a Client, the latter assumes all of the Participant’s financial obligations and binds itself to the same Retreat Agreement signed by the Participant.
5. Registration
5.1 Participants must be at least 21 years old to attend a Retreat.
5.2 The Participant must register using their complete legal name.
5.3 To register for a Retreat, the Participant must complete the Registration Form, which includes a medical screening section, with accurate and up-to-date information.
5.4 After the Registration Form is received, the Organiser will set up an Exploratory Call with the Participant to check the appropriateness of the Retreat for the Participant.
5.5 The Organiser will review the registration within 7 calendar days of the Exploratory Call unless there are any medical contraindications, in which case the process might take longer.
5.6 Once approved, the Organiser will send the Retreat Agreement to the Participant. The Participant has 7 calendar days to sign and return all these documents and pay the Deposit. If the Registration Form is received less than 30 days before the retreat, the Retreat must be paid for immediately in full. Registration is only finalised upon receipt of the Deposit or Retreat Fees and the signed Retreat Agreement. Failure to abide by the time frame may result in the place being offered to someone else.
5.7 The Organiser may refuse participation at any time without obligation to explain. Unless these are for medical reasons as stated in section 7, the cancellation provisions in 4.3 apply.
6. Retreat Fees and Payment
6.1 Retreat Fees include VAT.
6.2 The Retreat Fees must be paid in full within 21 days before the Retreat.
6.3 If the Participant fails to finalise the payment within 7 days of the deadline in 6.2, the registration will be cancelled and the Deposit will be retained in full by the Organiser.
